MSSL delivers services in every district of Sierra Leone through its outreach, centres/clinics and social marketing channels.
THE ROLE/FUNCTION
The Field Data Admin will be responsible for the accurate and timely entry of data collected from various field activities into the organization's data management systems. This role requires attention to detail, strong organizational skills, and the ability to work effectively in a fast-paced environment. The Data Admin will collaborate with the outreach team, channel lead and the support office team to ensure data integrity and support the organization's data-driven decision-making processes.
KEY RESPONSIBILITIES
1. Data Management and Verification
- Accurately enter data from field source into the designated database systems.
- Ensure all data entered is correct, complete, and consistent with the source documents.
- Update and maintain databases, ensuring that data is current and properly organized.
- Perform regular data verification checks to identify and correct any discrepancies or errors in the data.
- Collaborate with the outreach team to resolve any data inconsistencies.
- Ensure that data entry processes adhere to the organization’s data quality standards.
2. Coordination and Communication
- Liaise with field officers and program managers to obtain necessary data and clarify any issues related to data collection.
- Communicate with the central data management team to report on data entry progress and any challenges encountered.
3. Compliance and Confidentiality
- Coordinate and schedule meetings, conferences, and events.
- Assist in preparing meeting agendas, materials, and taking minutes when required.
4. Inventory Management
- Maintain accurate stock levels by regularly updating inventory records and usage.
- Conduct regular inventory counts and reconcile discrepancies between physical counts and inventory records.
- Update the inventory record sheet with new stock arrivals, usage, and transfers.
- Support the monthly stock replenishment process by ensuring timely and accurate data entry related to inventory levels.
- Collaborate with the regional team to ensure stock availability and efficient replenishment.
5. Training, Capacity Building and Field Support
- Participate in training sessions to improve data entry skills and knowledge of data management systems.
- Support the training of other outreach staff on data collection methods and data quality assurance.
- Occasionally support field data collection activities to understand the data entry process better.
- Report technical issues to the Research Monitoring and Evaluation (RM&E) and IT team for resolution
- Maintain accurate records of all data entry activities, including any changes made to the data.
- Document procedures and best practices for data entry and management.
Qualification & Training (essential/desirable)
- • A minimum diploma in a related field
- • Proficiency in data entry software and tools (e.g., Microsoft Excel, Google Sheets, databases).
- • Strong knowledge and fluency in using Excel for data entry, analysis and inventory management
- • Familiarity with data management systems and practices.
- • Problem-solving skills and the ability to troubleshoot data-related issues
